What should a warehouse shelving quotation include?

A warehouse shelving quotation should set out the shelving specification, layout, load requirements, installation scope, price basis and site assumptions.

It should explain surveys, drawings, project management and relevant compliance checks, so you can compare the scope with your stock and workflow.

A warehouse shelving quotation should give you enough information to check that the proposed arrangement suits your stock, building and working methods. It should also show precisely what the price includes, what it excludes and which assumptions affect the figure.

Stock and usage information: The quotation should reflect the items you store, their dimensions, weights and handling method. It should identify whether staff will load and retrieve stock manually, and whether picking access must remain clear throughout the working area.

Ask the supplier to show how the shelving relates to stock rotation, picking frequency and future changes. A quotation based only on available floor area may not support safe access or efficient movement.

Site information: The document should record relevant site conditions considered during preparation. These may include floor areas, access points, obstructions, working heights and the position of existing equipment.

It should identify assumptions that could alter the design or price. Examples include information still required from you, restrictions on delivery access and work affected by other contractors.

Drawings and dimensions: A written quotation is clearer when supported by working drawings or a layout proposal. Check that the drawings show shelving runs, aisles, access routes and important dimensions.

Look for enough detail to compare the proposed arrangement with the actual building. The drawing should make clear where the installation starts and ends, rather than showing an isolated shelving run without its surroundings.

Included equipment: The quotation should describe the shelving components included in the price. It should identify shelves, frames, beams, accessories and any items needed for the stated storage use.

Check whether protection, signage, labels, dividers or other accessories appear as included items or optional additions. If a quotation refers to a separate schedule, that schedule should be supplied with the quotation.

Installation scope: Installation should be described in practical terms. The quotation should state what the installation team will assemble, position and complete, together with any preparation expected from you.

It should also explain site responsibilities, including access to the work area, removal of existing items and disposal of packaging. This prevents apparently similar quotations from covering different amounts of work.

Price and payment basis: A useful quotation separates the shelving price from installation, delivery and optional items. It should state whether prices include applicable taxes and identify any charges not included in the total.

Check the quotation issue date, payment stages and conditions attached to acceptance. Spartan Direct’s terms state that a quotation remains valid for 14 Business Days from issue. The quotation should therefore be reviewed within that stated period.

Ask how changes will be handled after acceptance. Alterations to dimensions, quantities, access arrangements or site conditions may affect both the design and the price. Written confirmation gives you a clearer record of any agreed change.

Programme information: Where installation dates are discussed, the quotation should distinguish estimated dates from confirmed contractual obligations. Spartan Direct’s terms state that agreed dates are estimates, with all reasonable endeavours used to meet them.

The same terms state that time is not of the essence. You should therefore consider the proposed sequence alongside stock movements, other works and any access restrictions at the premises.

Management and commissioning: Larger shelving projects may require coordination from proposal and tender stage through installation and final commissioning. If project management is included, the quotation should explain its scope and the points at which decisions are needed.

For a West Midlands warehouse, a no-obligation consultation may include a site meeting and survey before written proposals are prepared. This gives you an opportunity to test the quotation against actual conditions before committing.

Compliance and aftercare: The quotation should explain any compliance checks relevant to the proposed shelving and identify records or inspections included after installation. It should not leave responsibility for every safety-related matter unclear.

Ask what happens if materials have a defect. Spartan Direct’s terms provide for repair or replacement without charge, or a refund of the relevant price, at the supplier’s discretion, where the terms are followed.

Supplier details: The quotation should identify the contracting supplier and provide contact details for queries, revisions and acceptance. Spartan Direct Limited is registered in England and Wales under company number 3275287.

Before comparing totals, compare each quotation line by line. Confirm that the proposed capacity, access, installation duties, exclusions, programme assumptions and aftercare arrangements match the way your warehouse operates.

Keep the layout drawing, component schedule, exclusions and quotation together as one reference set. Check each document carries a date or revision reference.

If quantities, dimensions or site assumptions change, ask for an updated quotation and drawing before acceptance. This leaves a clear record of the shelving arrangement and agreed scope.
